  • Position Purpose: The HR Trainee is tasked with overseeing the execution of HR administrative activities in accordance with Sephora’s HR protocols. This encompasses, but is not limited to, the management of pre-employment and onboarding procedures, HR services, the renewal of employee contracts, and the maintenance of leave records.

Key Accountabilities:

Pre and Onboarding

  • Facilitate the sourcing, screening, recruitment, and induction processes for retail positions specifically targeting UAE nationals.
  • Address all inquiries and requests from Retail UAE nationals promptly and efficiently.
  • Shadow People Collaborators during Store Visits.
  • Engage with the applicants to facilitate the completion of the requisite recruitment documentation necessary for the issuance of the employment contract.
  • Please ensure that all pertinent and necessary staff documents are scanned and uploaded to the shared folder/HRMS at Sephora.
  • Facilitate communication with the applicants regarding the medical examination and visa processing procedures.
  • Provide orientation for new employees regarding their integration into the establishments.

HR Operations & Services:

  • Facilitate and deliver a comprehensive range of human resources services, including the preparation of correspondence, letters, and No Objection Certificates (NOCs), among other related documentation, for employees.
  • Oversee the organization and allocation of employee uniforms, administrative executive cards/passes, and monitor the distribution and loss of employee credentials.
  • Gather leave requests, store them in the employee electronic folder, and update the tracking system accordingly.
  • Facilitate the Human Resources team in the systematic monitoring and archiving of pertinent employee documents within their designated files.
  • Monitor leave utilization and oversee the management of leave reports, as well as deductions related to absenteeism and illness. Engage in discussions with People Partners regarding salary deductions and commission implications.

HR Projects & Others:

  • Monitor all probationary periods to ensure their timely conclusion by completing the probation period assessment form. Additionally, ensure that the confirmation or probation extension letter is issued by the Human Resources department to the employee, in accordance with whether the probation is extended or the employee is confirmed in their position.
  • Provide assistance to the Human Resources team in coordinating venue and hotel reservations, as well as managing advertisements and related tasks.
  • Provide assistance to the Human Resources team with any administrative tasks as requested.

Skills, Experience and Personality:

  • Possessing 0 to 2 years of experience in an HR Operations capacity, encompassing HR Services and Employee Deployment.
  • Preferred expertise in the retail or fashion sector.
  • Proficiency in communication.
  • The Human Resources Trainee must possess strong verbal and written communication skills to proficiently perform their responsibilities and to ensure seamless and effective interaction with employees.
  • Interpersonal Competencies.
  • Possessing a service-oriented disposition, I demonstrate a capacity to perform effectively under duress while maintaining discretion in the handling of confidential information.
  • It is essential to possess self-motivation, demonstrate proactivity by exceeding expectations, and maintain a strong focus on achieving results.
  • The HR Trainee should possess a personable and approachable demeanor, demonstrating the capacity to establish meaningful connections with others.
  • Proficient in Microsoft Office, specifically in MS Word, MS Excel, and PowerPoint, which are essential for the creation of visually and verbally pertinent materials and reports.
  • Proficiency in data management and the capacity to maintain confidentiality.
  • Demonstrates proficient organizational and time management abilities.
  • Possesses a comprehensive understanding of UAE Labour Law pertinent to the daily administration of employees.
  • Familiarity with Human Resources procedures and methodologies.
